Demonstration Site Guidelines
We are looking for demonstrations that are:
Interactive and engaging
Professionally presented
Creative and innovative
Visually attractive and welcoming
Safe for the public
Demonstrators are responsible for ensuring spectators remain safe at all times. Safety barriers or guards must be used where necessary.
Public address systems are not permitted.
Site Information
Sites are located outdoors on grass.
Bring your own gazebo or shelter.
No power is available.
Demonstration vehicles may remain on site if they form part of the display.
Overnight campervan parking is available nearby.
Key Dates
Applications close: 1 March
Acceptance forms due: 20 March
Site access: From 7.00 am, Festival Day
Festival hours: 9.00 am – 4.00 pm
Setting Up
Enter via the main Domain entrance.
Follow directions from Festival staff.
Vehicles may enter for unloading only and must be removed before 9.00 am unless approved or part of the display.
Maximum vehicle speed is 5 km/h.
Leave your site clean and tidy.
Packing Up
Demonstration sites must remain fully operational until 4.00 pm.
Vehicles are not permitted back into the demonstration area before this time without approval.
Product Sales
Limited product sales are permitted, provided the primary purpose of the site remains demonstration.
Anyone selling products must also comply with the festival Stallholder Terms & Conditions.
Health & Safety
Demonstrators are responsible for providing a safe demonstration area and complying with the Health and Safety at Work Act 2015.
The festival Health and Safety officer will be inspecting your site once setup to ensure you comply with the health and safety requirements.
You must:
Have your own health & safety policy
Identify and manage hazards.
Protect spectators with barriers where required.
Secure marquees, equipment and displays.
Cover tent pegs, electrical cables and other trip hazards.
Report all incidents immediately.
Operate the Site in compliance with the Organizer’s Health & Safety policies, procedures and requirements and ensure the safety of the public at all times.
Follow directions from the Festival Health & Safety Officer.
Electrical equipment must:
Be tested and tagged.
Use RCD protection.
Have leads safely secured and clearly identified.
Dangerous goods or hazardous substances require prior approval from Festival organisers.
Festival officials may require unsafe activities to stop until hazards have been corrected.
Security
Overnight security will be provided from 6:00 pm – 7:00 am Thursday, Friday and Saturday.
Equipment may remain on site overnight at the owner's risk.
Insurance
Demonstrators are responsible for their own equipment and activities.
Public liability insurance is strongly recommended. The organizers will not be liable for any claims made against the Demonstrator which is as a result of negligence or fault of the Demonstrator.
Professional Conduct
Demonstrators are expected to:
Present their site professionally.
Be courteous to visitors.
Hold any licences or permits required for their activity.
Ensure product prices are fair and reasonable.
Honour any customer orders independently of the festival.
Emergency Procedures
In the event of an emergency:
Follow instructions from Festival staff.
Report immediately to Event Headquarters if assistance is required.
If evacuation is ordered, proceed to the designated assembly area at the tennis court end of the lower rugby field.
