Stallholder Terms & Conditions

Welcome

Thank you for being part of the Kimbolton Sculpture Festival. We appreciate your support and look forward to a successful event.

Before You Apply

  • Stall applications are subject to approval by the festival organisers.

  • Payment is due upon acceptance of your application.

  • Each registered stall receives up to three complimentary entry tickets.

  • Applications are only confirmed once payment has been received.

Your Stall

  • Standard site size is 3m x 3m unless otherwise arranged.

  • Each stall site will be spaced approximately 1m apart. When deciding what stall site size you require, include all ropes, awnings and vehicle towing hitches within your stall site.

  • All stalls are located on grass.

  • Stallholders must provide their own gazebo, tables and equipment.

  • Electricity is not available.

  • Stall displays and merchandise must remain within the allocated site boundaries.

  • Stalls should be attractive, tidy and professionally presented.

  • The stallholder acknowledges that the location and placement of all Sites within the venue is at the sole discretion of the organisers. 

Trading Hours

  • Setup from 7.00 am on festival day. (Friday arrival and overnight camping is permitted.)

  • Trading hours are 9.00 am – 4.00 pm.

  • Stalls must remain open until 4.00 pm.

  • Vehicles must be removed from the market area to the designated stallholder carpark between 9.00 am and 4.00 pm unless authorised by the organisers.

  • Speed limit within the venue is 5 km/h.

Stallholder Responsibilities

Stallholders are responsible for:

  • Their own equipment, stock, cash and personal property.

  • Fair pricing and customer service.

  • Any custom orders or after-sales arrangements.

  • Leaving their site clean and free of rubbish.

Health & Safety

All stallholders must:

  • Comply with the Health and Safety at Work Act 2015.

  • Operate the Site in compliance with the organiser’s Health & Safety policies, procedures and requirements. Health & Safety Policy

  • Maintain a safe site for staff, volunteers and the public.

  • Identify and manage hazards.

  • Cover tent pegs, electrical cables and remove trip hazards.

  • Immediately report any incidents or injuries to festival organisers.

  • Rectify any safety issues identified during inspections.

  • Comply with any directions issued by the festival Health & Safety Officer.

The organisers may close any site that presents an unacceptable safety risk.

Food Vendors

Food vendors must:

  • Hold current food registration and display it.

  • Comply with all food safety regulations.

  • Ensure gas equipment is certified.

  • Have an appropriate fire extinguisher and fire blanket available when cooking.

  • Prevent public access to cooking areas.

  • Display good hygiene practices.

Conduct

Stallholders must:

  • Behave professionally and respectfully.

  • Not use public address systems without approval.

  • Not abuse Festival staff or volunteers.

  • Comply with all lawful directions from festival organisers.

Security & Insurance

  • Overnight security will be provided, but all property remains at the stallholder's risk.

  • Stallholders are strongly encouraged to hold appropriate public and product liability insurance.

Liability

The festival organisers accept no responsibility for:

  • Loss, theft or damage to property.

  • Injury resulting from the stallholder's activities.

  • Customer disputes or product issues.

Stallholders are responsible for any loss, damage or claims arising from their activities or breach of these conditions.

Event Changes

The organisers may amend these conditions where necessary for legal, safety or operational reasons.

If the Festival is cancelled or disrupted due to circumstances beyond the organiser's control (including severe weather or other force majeure events), refunds will be at the organiser's discretion.

Emergency Procedures

In the event of an evacuation, all stallholders must follow directions from festival officials and proceed to the designated assembly area.

By accepting a stall site, you agree to comply with these Terms & Conditions and all applicable laws and festival requirements.
